Who we are

Mango Media Productions Limited (“Mango Media”, “we”, “us”) is a video production company registered in Ireland (company number 726461). We are the controller of the personal data described in this policy.

What we collect

When you use the instant quote calculator

Our calculator at mango-instant-quote.netlify.app asks for your name, email address and phone number, your description of the project and your answers to its follow-up questions. It also receives the advertising and campaign tags in the link you arrived on (for example a Google Ads click ID or a utm_source tag), so we can tell which ads lead to enquiries. To prevent abuse it uses Cloudflare Turnstile, a bot check, and a hashed (not readable) version of your IP address for rate limiting.

When you book a discovery call

The booking box on this site asks for your name, email address, company, phone number and a note about your project, along with the time you pick. We use these to create the meeting in our Google Calendar with a Google Meet link, and Google emails you the invitation. Your IP address is used briefly to limit repeated booking attempts.

When you email or phone us

Whatever you choose to tell us: usually your name, contact details, organisation and what you need.

When you browse this website

Only with your consent: how you use the site (pages visited, scrolling, clicks, device and browser type, approximate location from your IP address), through Google Analytics and Microsoft Clarity, and which ad or campaign brought you here, through Google Ads and the advertising tags described in our cookie policy, and, through Leadfeeder, which company the network you visit from belongs to. If you don’t agree, Google Tag Manager still loads, and Google Analytics and Google Ads send Google cookieless signals only (such as that a page was viewed), with no identifiers and ad data redacted, which Google uses to estimate visits and conversions in aggregate. Our hosting provider also keeps standard server logs, such as IP addresses and the pages requested, to run and secure the site, in line with Netlify’s own retention policy.

Without cookies, for everyone: simple visit counts (pages viewed, where a visit came from, country, device type) through Plausible Analytics. Plausible stores nothing on your device, keeps no IP address and can’t follow you between days or between websites. We use it on the basis of our legitimate interest in knowing how many people use the site (Article 6(1)(f)).

We don’t ask for special category data (such as health information). Please don’t include it in a brief or note unless the project needs it.

Why we use it, and on what legal basis

• To prepare and email the estimate you asked for, and to book the call you asked for. These are steps you ask us to take before a possible contract (GDPR Article 6(1)(b)).
• To follow up on your enquiry, answer your questions and keep a record of it in our sales system. Our legitimate interest in responding to people who contact us and running our business (Article 6(1)(f)).
• To deliver work and invoice clients. Performance of our contract with you (Article 6(1)(b)) and our legal obligations, such as keeping tax records (Article 6(1)(c)).
• To measure and improve the website, and to see which ads work. Your consent (Article 6(1)(a) and Regulation 5(3) of the ePrivacy Regulations, S.I. No. 336 of 2011). You can change your mind at any time using Cookie settings.
• To keep our systems secure and stop spam and abuse. Our legitimate interest in protecting the site and the calculator.

We don’t send marketing emails or newsletters, and we do not sell your personal data.

AI in the quote calculator

The calculator uses Anthropic’s Claude, an AI service, to read your project description, ask relevant follow-up questions and help draft the written estimate. Your description and answers are sent to Anthropic for this purpose only. The prices themselves come from our own fixed rate card, not from the AI. Under Anthropic’s commercial terms, data sent through its API is not used to train its models.

The estimate is a guide, not a decision about you: every project is confirmed with one fixed price in writing by a person at Mango Media. If you would rather not use the calculator, email hello@mangomedia.ie or call us instead.

Who we share it with

We use a small number of service providers (processors) who handle data on our behalf and only on our instructions:

• Netlify: hosts this website and the quote calculator, and stores enquiry and quote records.
• Anthropic: AI processing of calculator briefs (see above).
• Mailgun (EU region): sends your estimate by email.
• Make: workflow automation that passes enquiries between our systems.
• Pipedrive: our customer relationship management (sales) system.
• Google: Google Workspace (Gmail, Calendar, Meet and Sheets) for email, bookings, calls and records; Google Tag Manager; and, with your consent, Google Analytics and Google Ads (without it, cookieless signals only, as described above).
• Microsoft: Microsoft Clarity, with your consent.
• Plausible Analytics (EU-based, data held in the EU): cookieless visit counts.
• Leadfeeder (Dealfront), with your consent: tells us which companies visit our website, based on the network a visit comes from.
• Cloudflare: Turnstile bot protection on the quote calculator.
• Vimeo: plays our films. The player loads only when you press play, and we ask it not to track you (its “do not track” setting).
• Zoho Invoice: our invoicing system, for clients we invoice.
• Glitch Ads Limited: our advertising agency, which manages our Google Ads and Tag Manager setup and can see aggregated reports.
• Our external accountant: for bookkeeping, tax and statutory accounts.

We may also share data where the law requires it, or with professional advisers under a duty of confidentiality.

Transfers outside the EEA

Some of these providers are based in, or may access data from, the United States or other countries outside the European Economic Area. Where that happens, the transfer is protected by the EU–US Data Privacy Framework (for providers certified under it) or by the European Commission’s Standard Contractual Clauses. You can ask us for more detail.

How long we keep it

We only keep personal data for as long as we need it, and we review what we hold from time to time.

• Enquiries, quotes, bookings and emails with clients and prospective clients: for as long as we have, or may have, a business relationship with you or your organisation. Much of this lives in our email and sales system, so it stays there while that relationship is live, and we delete it when it is no longer needed or when you ask us to.
• Accounting records (such as invoices and payments): six years, as Irish tax law requires.
• Analytics data: for the retention period set in Google Analytics and in Microsoft Clarity.
• Cookies on this site: see the cookie policy. Your cookie choice is kept for six months; stored advertising tags for 90 days.
• Consent log records (anonymous): 12 months.

You can ask us to delete your details at any time by emailing hello@mangomedia.ie, and we will, unless the law requires us to keep something (for example, an invoice we issued to you).

Cookies and analytics

We only use analytics and advertising cookies if you agree. Our cookie policy lists each one, and you can change your choice at any time with Cookie settings (also in the footer of every page).

To show what you agreed to, each choice is kept in an anonymous consent log: a random consent ID, the date and time, your choice for each category, the banner version and the page you were on. It holds no IP address or name, so on its own it can’t identify you. We keep these records for 12 months, on the basis of our legal obligation to be able to demonstrate consent (Article 6(1)(c) and Article 7(1)).

Your rights

Under the GDPR you have the right to:

• access the personal data we hold about you and get a copy;
• have inaccurate data corrected or incomplete data completed;
• have your data erased, in certain circumstances;
• restrict how we use it, in certain circumstances;
• object to our use of it where we rely on legitimate interests, and to direct marketing at any time;
• receive data you gave us in a portable format, in certain circumstances;
• withdraw consent at any time, where we rely on it. This doesn’t affect what we did before you withdrew.

Making a complaint

If you are unhappy with how we have handled your data, please tell us first and we will try to put it right. You also have the right to complain to the Data Protection Commission, Ireland’s supervisory authority for data protection: www.dataprotection.ie, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, Ireland.

Changes to this policy

We review this policy regularly and will post any changes on this page with a new date at the top. Links to other websites, including our calculator’s providers and social networks, are covered by those sites’ own privacy policies.
